Trial Balance

A trial balance includes the following elements:

Trial Balance

Trial Balance is an internal financial statement that lists the adjusted closing balances of all general ledger accounts to verify that total debits equal total credits before preparing financial statements.

Key Components

A trial balance includes the following elements:

  • Account names - All nominal ledger accounts listed in order of liquidity
  • Debit column - Contains all accounts with debit balances (assets, expenses, owner's drawings)
  • Credit column - Contains all accounts with credit balances (liabilities, equity, revenue)
  • Column totals - Sum of debits must equal sum of credits

How it Works

The trial balance operates within the double-entry bookkeeping system:

  1. Record transactions - Bookkeepers post financial transactions from daybooks to ledger accounts
  2. Extract balances - Pull the closing balance from each general ledger account
  3. Classify balances - Place debit balances in the debit column and credit balances in the credit column
  4. Total columns - Add up both columns separately
  5. Verify equality - Confirm that total debits equal total credits

If the columns do not balance, an error exists in the ledger accounts that must be corrected before preparing the income statement or balance sheet.

Pros & Cons

Advantages:

  • Detects arithmetic errors in posting
  • Provides a summary of all account balances at a specific date
  • Serves as a foundation for preparing financial statements
  • Helps identify accounts with unusual balances

Limitations:

  • Does not detect errors of omission (transactions completely left out)
  • Does not catch errors of original entry (wrong amounts recorded on both sides)
  • Cannot identify errors of commission (posting to wrong account of same type)
  • Compensating errors may cancel each other out

Real-World Application

In Philippine real estate brokerages, the trial balance serves as a critical checkpoint before generating BIR-compliant financial reports. You can use it to:

  • Verify that all property sale commissions recorded in accounts receivable match corresponding entries
  • Ensure withholding tax deductions from agent commissions balance correctly
  • Confirm that VAT input and output entries align before filing BIR Form 2550
  • Reconcile journal entries from multiple transactions across properties and agents

Real estate accounting software like iRealtee automates trial balance generation, pulling data directly from the chart of accounts and flagging imbalances before month-end closing.
